What we hold, and for how long.

This policy explains the personal data behind an inquiry, an invoice, a warranty claim and a damage report on peakslope.com. It is written to the Hong Kong Personal Data (Privacy) Ordinance (PDPO).

    Mile 01 · Data user

    Who is responsible for your data

    HKHBIN TRADE LIMITED is the data user for peakslope.com. Its registered address is ROOM 701, UNIT 127, 7/F, TOWER B, NEW MANDARIN PLAZA, 14 SCIENCE MUSEUM ROAD, TSIM SHA TSUI, HONG KONG, and every privacy request goes to HKHBIN@outlook.com. We are a Hong Kong trading company selling outdoor and trekking equipment by inquiry. We are not an advertising network and we do not run a data business.

    Mile 02 · Collection

    What we collect when you write

    An inquiry gives us what you choose to send: name, email, optional phone or WhatsApp number, shipping address, the item or SKU you asked about, quantity, colour, destination country, the date you need the kit, and any sizing details such as pack torso length or pole length. If the order proceeds, we also hold the invoice details and the delivery address given to the courier. Server logs record IP address, browser type and pages requested, kept for security and abuse control for up to 90 days.

    Mile 03 · Claims records

    Warranty and damage evidence stays with the order

    When you claim a manufacturing fault we ask for photographs: the seam tape or the delaminated seam, the bent pole section and its ferrule, the carbide tip, the carton and its label. Those images, together with your trip-damage report and our inspection notes, are stored against the order record. We keep them because a claim is traceable to a mill run and a batch, and because a repeated failure is a specification problem we need to see. They are not used for marketing and are not shown publicly.

    Mile 04 · Cookies

    Cookies and the session state

    The site uses a session cookie to remember a shortlist or a quantity between pages, and it expires when you close the browser. We set no advertising cookies, run no remarketing pixels and embed no third-party analytics or social trackers. There is no login and no stored payment profile. If you block cookies, the pages still read normally; only a saved shortlist is lost.

    Mile 05 · Purpose

    Why we use it, and on what basis

    We use your data to answer the inquiry, quote freight, confirm stock, issue an invoice, arrange delivery, handle a warranty claim and keep the accounting records Hong Kong law requires. Under the PDPO that means using data only for the purpose it was collected for or a directly related purpose, with your consent given when you write to us, or because a contract or a legal duty requires it. We never sell or rent personal data, and we do not add you to a newsletter unless you ask.

    Mile 06 · Sharing

    Who else sees it

    Our mailbox provider carries the correspondence. A courier or freight forwarder receives the name, address, phone number and a commercial description of the goods, which for bulky freight means a declared value and a harmonised code. Our bank or payment processor sees the invoice amount and the payer name. A repair workshop may see a claim and the photographs. None of them receives your data for their own marketing, and none is allowed to use it for anything except the task we set.

    Mile 07 · Cross-border

    Where the data travels

    We operate from Hong Kong and the site is hosted in Hong Kong. Email is processed by a global provider whose servers may sit outside Hong Kong, and a courier network will move delivery data through its own hubs. Where data leaves Hong Kong we transfer only what the shipment or the claim needs, and we expect the recipient to protect it to a standard comparable with the PDPO. You may ask which countries are involved in a specific order.

    Mile 08 · Retention

    How long we keep it

    Inquiry correspondence that does not become an order is kept for 24 months, then deleted. Order, invoice and shipping records are kept for seven years to meet Hong Kong accounting and tax duties. Warranty photographs and trip-damage reports stay with the order for the same seven years, because a pole ferrule or a seam failure may reappear two seasons later. Server logs are kept for up to 90 days. When a record is no longer needed we delete it or irreversibly anonymise it.

    Mile 09 · Your rights

    Access, correction and deletion

    You may ask what personal data we hold about you, ask for a correction, or ask us to delete anything we are not legally required to keep. Write to HKHBIN@outlook.com with the email address you used. We answer within 40 days as the PDPO requires and we do not charge for a routine request. If we cannot delete an invoice because of a tax duty, we will tell you exactly which record and why.

    Mile 10 · Complaints

    If you are not satisfied

    Raise it with us first and we will try to fix it in writing. If our answer does not resolve it, you may complain to the Office of the Privacy Commissioner for Personal Data (PCPD) in Hong Kong, which supervises the PDPO. Nothing in this policy limits a right you have under the Ordinance. Contact details for the PCPD are published at its official site.

    Mile 11 · Children and changes

    Young customers, and how this policy changes

    This site is aimed at adult buyers. We do not knowingly collect data from anyone under 18, and if we learn we have, we delete it. If the policy changes we will post the new version here with a new date and, where the change is significant, note it in the next reply we send you.
